Terms and Conditions for Services Rendered

This is a contract entered into by Joanne Copeman and any Grays Drama Academy staff (hereinafter referred to as “The Provider”) and the parent / carer of ……………………………………. (hereinafter referred to as “the client”) on ……………………………. The client hereby engages the provider to provide services for vocal and acting training and singing tuition. The provider hereby agrees to provide the client with such services in exchange for consideration described herein under “Terms and Conditions for Services Rendered”. Observance of the following rules, regulations and policies is implicit in the acceptance of a place in the Academy. The Academy reserves the right to refuse entry to classes if these rules are not complied with. The Academy reviews and amends its policies and regulations on a regular basis and advises parents and teachers to read this document thoroughly to ensure a clear understanding is gained. Fees

The Client is to be prompt with all payment deadlines. This includes private coaching fees, group classes, rehearsal & show fees, exam fees, costume expenses, as well as other related costs. All lesson fees are to be paid on a monthly basis, Invoices will be sent out on or around 23rd of the month, for the month ahead, to the email address provided. All fees are due 5th of month. So, to clarify, Fees for march would be sent out around 23rd February and must be paid in full by 5th March. If payments are made past 5th they will be considered late. If deadlines are not met on time the client will incur a £10 late payment fee which will be automatically added onto the next invoice for the following month. Fees must be paid in full - no refunds will be made for missing classes. No  refunds will be given on exam payments, show payments etc.

Payment Methods

CASH - any cash must be handed in to the student’s teacher or placed in the safe deposit box in the waiting area. It must be in a sealed envelope with the exact amount and the child’s name, amount and what the money is for must be clearly labelled on the front. BACS - Please reference your child’s full name and what the money is for, i.e.: exam payment or March fees etc.

Absence

All classes must be paid for in full whether students attend or not. This includes for reasons such as adverse weather conditions, illness and other commitments. If the provider chooses to cancel lessons due to any of the above then the client will be reimbursed on the next month’s invoice. If students cannot attend the 1-2-1 lesson for whatever reason the provider will try and move the student to a suitable space for both provider and client, but it must be within the same month and 24 hours’ notice must have been given. If the provider has no spaces to move the student, then the client will be required to pay in full. Please note if less than 24 hours’ notice is given then the provider will not try and move the lesson. 

Academy Term and Holiday Times

Term and holiday dates will be emailed out at the start of each year and the Academy will be closed in conjunction with Leicestershire School term times.

Lateness

Due to the nature of lesson scheduling, your session cannot be extended to compensate for lateness, please arrive on time. Full lesson costs are still applicable if clients are late.

Insurance

Within the teaching environment, the Provider (and any other teachers) are fully insured at all times with Public Liability Insurance. Personal items are the sole responsibility of the client. The client is asked to behave in a sensible manner to prevent injury within the teaching environment.

Under 18’s

The provider (and all teachers) hold/s a valid DBS certificate, as well as a Children in Entertainment Chaperone Licence. The provider holds a First Aid Certificate, Child Safety Protection Certificate and  Grays Drama Academy has a full health and safety policy as well as Child protection and Data protection policies, which can be viewed upon the clients request and can be found on our website. Parents of under 16’s are required to provide information for performance licences, if necessary, when participating in a show.

Photography / Filming and Social Media

All photographs and video footage from Grays Drama Academy performances will remain the property of the provider, and can be used as required for publicity and advertising. This may be print or internet based. Written permission will be sought from parents of under 16’s before each performance, however sometimes photographs and videos may be filmed in lessons in which prior permission will not be sought. (You have a chance to opt out of this below if you wish). If you do not wish for your child to be filmed this may result in them not participating in certain events. If you do not wish the film to be used for the internet etc, then it may mean that your child’s performances may have to be adapted on events that are being filmed. If the client or students use social media to promote GDA or whilst in GDA uniform please do so wisely.

General

The client is responsible for maintaining up to date medical and contact details. Group classes must not be interrupted, please email the provider with any questions or feedback, or this can be discussed at the start of lessons but not at the end a it will eat into the next clients lesson. Grays Drama Academy will not be held responsible for any lost or stolen items whilst on the premises. Grays Drama Academy will be responsible for your child whilst in scheduled lessons or workshops only.

Code of Conduct

All students and parents are expected to conduct themselves in a respectful, kind and courteous manner, both during lessons and at any outside event organised by the Academy. Disrespecting a member of staff, a student, a chaperone or parent could result in loss of place at the academy.

Leaving the school or Classes

If a student wishes to stop taking certain classes or leave the academy, the client must give one months emailed notice and will be required to pay the full invoice until the notice period is up.
